CollabWise Academy provides expert-led webinars and professional learning experiences covering AI solutions and automation, career growth, professional skills, employee wellness, leadership and management, sustainability, innovation, and workplace development. We process personal information in accordance with the Nigeria Data Protection Act 2023 and other applicable Nigerian data protection and consumer protection requirements. Where our services are offered to individuals in the European Economic Area or the United Kingdom, relevant provisions of the EU GDPR or UK GDPR may also apply.

2. Information We Collect

The personal information we collect depends on how you interact with CollabWise Academy.

Account and Registration Information

When you create an account or register for a webinar, we may collect:

• Webinar registration and attendance details;

Purchase and Payment Information

When you purchase a webinar or another paid service, we may collect your billing name, billing address, transaction amount, currency, payment status, order number, transaction reference, and limited payment confirmation information. Payments may be processed by an authorized third-party payment gateway or financial institution. We do not store your complete debit or credit card number, CVV, online banking password, or UPI PIN on our servers. CollabWise Academy will never request for such details. 

The payment processor may collect and process financial information under its own privacy and security terms. We may receive a transaction reference, payment status, card type, or masked card details where necessary for accounting, support, fraud prevention, or refund processing.

Webinar and Learning Information

When you register for or attend a webinar, we may collect:

• Webinar selections and attendance history;
• Participation, completion, or engagement records;
• Questions submitted before or during a session;
• Survey, assessment, or feedback responses;
• Chat messages and discussion contributions;
• Certificates or learning records;

If a session is recorded, participants will be informed where reasonably possible before recording begins. You may be able to participate with your camera and microphone switched off, depending on the format of the webinar.

Please do not submit passwords, payment authentication codes, confidential employer information, sensitive personal information, or third-party personal data unless it is necessary and you are authorized to provide it.

5. AI Tools and Submitted Prompts

CollabWise Academy teaches participants about AI solutions and automation, but the website is not presented as an independent AI content-generation platform. We do not currently provide a general website feature that requires users to submit prompts for automated AI responses. During an AI webinar, an instructor may demonstrate third-party AI tools. If participants choose to enter prompts, documents, email text, or other material into such a tool, that information may be processed by the third-party AI provider under its own privacy policy and retention rules.

Participants must not enter confidential business information, payment data, login credentials, health information, personal data belonging to another person, or other sensitive material into an AI tool unless they have proper authorization and understand the provider’s terms. If you send a proposed AI prompt or related text directly to CollabWise Academy by email, contact form, or webinar chat, we may use it to answer your question, provide learning support, prevent misuse, and improve the relevant training material. Such communications may be retained for up to 24 months unless a longer period is required for a dispute, legal obligation, or legitimate recordkeeping purpose.

If CollabWise Academy later introduces an AI-powered website feature, we will provide appropriate notice explaining how prompts are processed, whether they are used for improvement or model training, the applicable provider, and the specific retention period. We do not use AI alone to make decisions that produce legal or similarly significant effects concerning account eligibility, payment acceptance, or access to our services.

6. Cookies and Tracking Technologies

We may use essential cookies to keep the website secure, maintain account sessions, remember cart selections, and support checkout functions.

With appropriate consent where required, we may also use analytics, preference, or marketing cookies to understand website traffic, remember choices, measure campaigns, and improve website performance.

• Webinar attendance and learning records may be retained while needed to provide certificates, learning history, or organizational reports;
• Transaction and accounting records may be retained for the period required by applicable Nigerian financial and tax laws;
• Security and technical logs are retained only for a reasonable security and troubleshooting period;
• Marketing information is retained until consent is withdrawn or you unsubscribe, subject to a minimal suppression record; and
• Backup copies may remain for a limited period until they are securely overwritten.

Information may be retained longer where required by law, necessary for an active dispute, or needed to prevent fraud or enforce an agreement. When information is no longer required, we will delete, anonymize, or securely dispose of it.

We use reasonable administrative, organizational, and technical safeguards appropriate to the nature of the information being processed. Promotional emails will be sent only where permitted. You may unsubscribe through the link in a marketing email or contact us directly. Unsubscribing from promotional content will not prevent essential account or transaction messages.

13. Children’s Privacy

CollabWise Academy’s professional webinars are primarily intended for adults and workplace learners. Our services are not knowingly directed to children under 18 without appropriate involvement and authorization from a parent, legal guardian, school, employer, or responsible organization.

We do not knowingly collect personal information directly from a child where valid consent or authorization is required but has not been obtained. If a parent or guardian believes a child has provided information without proper authorization, they should contact us so that we can investigate and take appropriate action, including deletion where required.
