1. Introduction
This Account and Data Deletion Policy explains how users of https://collabwiseacademy.com/ can request the closure of their accounts and deletion of eligible personal information.
CollabWise Academy respects the right of individuals to control their personal information. We process account and deletion requests in accordance with the Nigeria Data Protection Act 2023 and other applicable requirements. Where relevant, additional deletion rights may apply under the EU GDPR or UK GDPR.
This Policy should be read together with our Privacy Policy, Data Usage Policy, Cookie Policy, and Terms and Conditions.
2. Information Connected to an Account
A CollabWise Academy account may contain or be connected with:
- Your name and email address;
- Username and encrypted password;
- Billing address;
- Webinar registrations;
- Attendance and completion records;
- Learning interests;
- Certificates;
- Order and transaction references;
- Support communications;
- Webinar questions or feedback;
- Account preferences;
- Login and security records; and
- Other information voluntarily supplied by you.
Closing an account does not always mean that every record can be deleted immediately. Certain information may need to be retained for legal, accounting, security, fraud-prevention, or dispute-resolution purposes.
3. Closing Your Account
You may request closure of your CollabWise Academy account at any time.
Once an account is closed:
- You may lose access to your account dashboard;
- Saved webinar registrations may no longer be visible;
- Access to restricted recordings or learning materials may end;
- Saved preferences may be removed;
- Certificates stored only in the account may become inaccessible;
- Active sessions may be terminated; and
- The same account may not be recoverable.
Before requesting closure, you should download any certificates, receipts, or permitted learning records you wish to keep.
Account closure does not automatically cancel a scheduled webinar, create a refund entitlement, or resolve an outstanding payment dispute. Cancellations and refunds are handled according to our Refund and Cancellation Policy.
4. Requesting Account Deletion
To request deletion, contact us using the email address provided at the end of this Policy.
Your request should include:
- Your full name;
- The email address connected to the account;
- A clear statement that you want the account deleted;
- Any specific information you want included in the request; and
- Sufficient information to help us identify the correct account.
For security reasons, requests should normally be sent from the email address registered to the account.
Do not send your password, complete card number, CVV, online banking password, one-time password, or UPI PIN.
5. Identity Verification
We must take reasonable steps to confirm that a deletion request comes from the account holder or an authorized representative.
Verification may involve:
- Confirming the request through the registered email address;
- Asking for limited account or registration details;
- Confirming a recent webinar or transaction reference;
- Requesting proof of authorization from a representative; or
- Using another proportionate method appropriate to the request.
We will not request more personal information than is reasonably necessary for verification.
If we cannot verify the requester’s identity or authority, we may pause or refuse the request to protect the account from unauthorized deletion.
6. Requests Submitted by Representatives
You may authorize another person to submit a deletion request on your behalf. We may require:
- Written evidence of the authorization;
- Confirmation from the account holder;
- Proof of the representative’s identity; and
- Sufficient information to identify the relevant account.
For a child or person who cannot independently exercise their rights, a parent, legal guardian, or legally authorized representative may submit the request.
We may refuse a representative’s request where authority cannot be reasonably established.
7. Information We Will Delete or Anonymize
Subject to verification and applicable legal exceptions, account deletion may include:
- Removing profile information;
- Deactivating login credentials;
- Deleting saved preferences;
- Removing optional marketing information;
- Deleting eligible support messages;
- Removing webinar interests and non-essential activity history;
- Deleting eligible feedback connected with your identity; and
- Anonymizing information used for aggregated reporting.
Where information has been anonymized so that it can no longer reasonably identify you, it may be retained for statistical, security, research, or service-improvement purposes.
8. Information We May Need to Retain
Certain information may be retained after account closure where reasonably necessary to:
- Comply with accounting or financial-record obligations;
- Document payments, credits, or refunds;
- Resolve an active complaint or dispute;
- Prevent fraud or unauthorized transactions;
- Maintain system and account security;
- Establish, exercise, or defend a legal claim;
- Respond to a lawful request from a court or regulator;
- Enforce our Terms and Conditions;
- Protect the rights or safety of another person; or
- Maintain a record of a completed deletion request.
Information retained for these purposes will be restricted to what is reasonably necessary and will not be used for unrelated marketing.
9. Payment Information
CollabWise Academy does not store complete debit or credit card numbers, CVV details, online banking passwords, or UPI PINs on its servers.
Payments may be handled by independent banks or payment providers. A request submitted to CollabWise Academy does not automatically delete information held independently by a payment provider.
We may retain limited transaction details, such as:
- Transaction reference;
- Amount and currency;
- Payment date and status;
- Billing name and address;
- Refund status; and
- Masked payment information.
These records may be retained where necessary for accounting, fraud prevention, transaction reconciliation, or legal compliance.
10. Webinar Records and Certificates
Deletion of an account may affect access to webinar attendance records, completion history, recordings, and certificates.
Where a certificate has already been issued, we may retain a minimal verification record to confirm its authenticity. The record may include your name, webinar title, completion date, and certificate reference.
For corporate training, an employer or sponsoring organization may separately retain attendance or completion information. Requests concerning information controlled by that organization should be directed to the organization.
11. Webinar Recordings
Deleting an account does not necessarily remove a participant from an existing webinar recording.
If a recording contains your identifiable name, voice, image, presentation, or contribution, you may identify the relevant session and request review.
We will consider:
- Whether you were informed of the recording;
- Whether you actively contributed;
- Whether removal is technically possible;
- Whether the recording is still being used;
- The rights of other participants;
- Applicable contractual obligations; and
- Your legal rights.
Where removal is not reasonably possible, we may consider alternatives such as editing, restricting access, anonymizing identifying information, or discontinuing future use of the relevant part.
12. AI-Related Text and Third-Party Tools
If you submitted AI-related text directly to CollabWise Academy through email, a contact form, or webinar chat, you may request its deletion where it remains identifiable and no legal exception applies.
Eligible correspondence may normally be retained for up to 24 months unless it is deleted earlier following a valid request or retained longer for a dispute or legal obligation.
If you entered information directly into a third-party AI platform during a webinar, CollabWise Academy may not control that information. You may need to submit a separate request to the relevant AI provider under its privacy and deletion procedures.
13. Cookies and Information Stored on Your Device
Closing an account does not automatically delete cookies or locally stored information from your browser or device.
You can remove cookies through your browser’s privacy or site settings. Deleting cookies may sign you out and remove saved preferences.
Some minimal cookie information may remain where necessary to remember a consent choice, protect website security, or prevent repeated misuse.
14. Marketing Communications
An account-deletion request will normally remove your information from active promotional lists.
We may retain a minimal suppression record, such as your email address and opt-out status, to ensure that you are not accidentally added back to a marketing list.
You may unsubscribe from promotional emails without closing your account. Service-related messages concerning an active registration, payment, security issue, or legal notice may still be sent where necessary.
15. Processing Time
We aim to acknowledge a valid deletion request within a reasonable period and normally complete eligible requests within 30 days.
Additional time may be required where:
- The request is complex;
- Multiple systems or providers must be checked;
- Identity cannot immediately be verified;
- The request involves webinar recordings;
- Information is connected with an active dispute;
- A legal retention requirement applies; or
- Several requests have been submitted together.
If additional time is reasonably required, we will provide an appropriate update.
16. Backup Copies
Deleted information may remain temporarily in secure backup systems until it is overwritten through the normal backup cycle.
Backup information is isolated from ordinary business use and is retained only for system recovery, security, or continuity purposes. If restored after a system failure, previously approved deletion instructions will be reapplied where reasonably possible.
Deletion from active systems does not always result in immediate removal from every backup copy.
17. Withdrawing a Deletion Request
You may ask to withdraw a deletion request before processing has been completed.
Once information has been permanently deleted or irreversibly anonymized, it may not be possible to restore the account, webinar history, certificates, preferences, or other records.
Creating a new account after deletion will not necessarily restore information connected with the former account.
18. When a Request May Be Limited or Refused
A deletion request may be limited or refused where deletion would:
- Conflict with a legal obligation;
- Interfere with an active legal claim;
- Remove information necessary to prevent fraud;
- Affect another person’s rights;
- Compromise security or transaction records;
- Prevent compliance with a lawful authority request;
- Require deletion of properly anonymized information; or
- Be manifestly unfounded, excessive, repetitive, or unverifiable.
Where permitted, we will explain the reason for limiting or refusing a request and identify any available complaint option.
19. Complaints and Appeals
If you disagree with our response, you may ask us to review the decision by replying to the response or contacting us again with relevant information.
You may also have the right to submit a complaint to the Nigeria Data Protection Commission or another competent supervisory authority.
Submitting a complaint does not prevent you from exercising any other legal right or remedy available under applicable law.
20. Changes to This Policy
We may update this Policy when our account systems, deletion procedures, services, or legal obligations change.
The revised version will be published on the website with an updated date. A deletion request will generally be handled according to the policy and legal requirements applicable when the request is processed.
